Manage seats
A seat lets one member contribute, edit or own diagrams. Viewers and commenters never take one. Adding seats is charged today, pro rata; removing seats takes effect at the next renewal.

Before you start
- Your role: owner or billing administrator of the organisation.
- Your plan: Team (at least 2 seats) or Enterprise (at least 25).
- Who needs a seat: members who contribute, edit or own diagrams. Viewers and commenters are free; a guest never takes a seat.
Change the number of seats
- Open the organisation's billing
Select your name or picture at the top right, then Organisation…, then Plan and billing. The plan line shows the seats bought and the seats assigned, for example 8 seats · 6 assigned.
- Enter the new number
Select Change seats, type the New number of seats, then select Preview.
- Read the preview, then confirm
iyedy says what changes. More seats: the amount charged today, pro rata for the days left, then the price per seat at each renewal. Fewer seats: the date of the renewal from which the new number applies; nothing is refunded for the current period. Select Confirm.
How seats follow roles
- A person takes one seat per organisation, whatever the number of workspaces they work in.
- The seat is taken when they get a contributor, editor or owner role, and released when no role of theirs needs it any more: a lower role, a workspace left, a removal.
- Members created by your identity provider or by SCIM start as viewers unless one of your rules says otherwise, so they take no seat until someone gives them a role that needs one.
- With no free seat, a viewer can select Request edit access. The workspace's owner approves it, and adds a seat if your organisation allows it.
Credits and seats
Each Team seat adds 1,000 credits a month to the organisation's shared pool. A seat added during the month adds its share of credits for the days left; removing a seat never takes credits back. See Credits and credit packs.
Variants and limits
- During the Team trial: up to 10 seats, with nothing to pay until the trial ends.
- Never below: the seats already assigned, and the plan minimum (2 on Team, 25 on Enterprise). To go lower, change the roles of some members first.
- Enterprise: your contract may allow up to 10% more seats than you bought, invoiced quarterly or yearly with your purchase order number.
- A member with a seat also gets exports without the “Made with iyedy” mention on their own diagrams.
If it doesn't work
“At least … seats: the seats assigned to people and the plan minimum.”
You asked for fewer seats than are assigned, or fewer than the plan's minimum. Lower the role of members who only need to read or comment, then try again.
“That is the current number of seats.”
The number you typed is the one you already have. Type a different number.
“A payment of your subscription is late. Settle it in Manage billing first.”
Seats cannot change while a payment is late. Settle it in Manage billing, then change the seats. See Billing troubleshooting.
