Share a diagram

Sharing gives one person access to one diagram. They get an e-mail, sign in with that address, and open the diagram with the right you chose: view, comment, or edit on a paid plan. Nothing is shared by default, and you can take any access back.

Before you start

  • You own the diagram, or you can edit and share it in an organisation.
  • The person's e-mail address. They sign in with that address; with Google or an e-mail address on your own, with their company account if your organisation asks for it.
  • Your address is verified. iyedy asks you to confirm your own address before you invite anyone.

Share

  1. Open Share

Open the diagram, then select Share in the top bar. The sheet starts with who opens the diagram today, for example Private: You and the people below.

  2. Type the address and choose the right

Type the person's e-mail address, then choose Can view, Can comment or Can edit. To end the access on a date, choose Until…; otherwise it has No end date.

  3. Invite

Select Invite. If the diagram is classified above Internal, iyedy reminds you that they will be able to read it: select Invite anyway only if you may show it to them.

iyedy says Invitation sent to alex.morgan@claims.example. The person shows in People with access with invitation sent until they accept.

What each plan allows

Can view Can comment Can edit
Free yes yes no
Pro, Pro+ yes yes one person you invite
Team, Enterprise yes yes through a workspace role (Contributor, Editor), never as a guest
  • On Pro and Pro+, one person you invite can also edit: they change the content of the diagram, never share it. That place is counted once, whatever the number of diagrams. On Free, Upgrade to Pro shows instead. See Limits by plan.
  • In an organisation, a person outside it becomes a guest: they view or comment, on diagrams up to Internal, 90 days at most. An editor shares with people already in the organisation; inviting a new outside address is for the diagram's owner, the workspace's owners and the administrators. See Roles and permissions.

Who opens the diagram

The first line of the sheet says who opens the diagram besides the people listed:

  • Private: you and the people below (My diagrams).
  • Members of the workspace: each opens it with their role in the workspace (organisation).
  • Restricted access: only the diagram's owner, the workspace's owners and the people invited open it (a Restricted diagram).

Under Links, Copy the link copies a link that opens only for the people on the list (Link for invited people on your own, Link for people with access in an organisation). To show the diagram to people without an account, see Read-only public links.

Change or take back an access

  • Another right or an end date: change it on the person's line. iyedy says Right updated.
  • Take it back: Remove the access of Alex Morgan, or for an invitation not accepted yet, withdraw it. iyedy says Access removed.
  • All your diagrams at once: when you invite someone, Open all my diagrams to this person opens every diagram of My diagrams, today's and future ones, to view or comment on them. Can edit and an end date are for one diagram only.

You received a diagram

  • Stop seeing it: in Share, select Stop seeing this diagram.
  • You need to edit it: select Request edit access from Alex Morgan. The owner decides.

If it doesn't work

Can edit is greyed out

On Free, nobody you invite can edit. On Pro and Pro+, the one person who can edit is already chosen, or an invitation to edit is still waiting. In an organisation, a guest views or comments only.

“A person outside the organisation views or comments only.”

The address is outside your organisation, so the person becomes a guest. To let them edit, they need to be a member: see Invite and manage members.

“Choose a date to come, until … at most.”

In an organisation, a guest's access lasts 90 days at most. Choose an earlier end date.
