Turn on the Assistant for your organisation

In an organisation, the Assistant stays off until an owner or a security administrator accepts the AI addendum and turns it on. You then choose what it may read, can turn it off for one workspace, and see every call in the audit trail. The checks keep working without AI either way.

Before you start

  • You are an owner or a security administrator of the organisation.
  • Read the AI addendum. It says that our AI model provider processes prompts as a sub-processor, with no guarantee of processing inside the European Union, and deletes them within 30 days. See AI and your diagrams.
  • On Enterprise, a second owner or security administrator approves the change. See Dual approval.
  • You may be asked to sign in again. Turning the AI on needs a recent sign-in.

Turn it on

  1. Open the AI settings

In the account menu, choose Organisation…, then Rules, then Assistant and Open. The dialog AI settings and audit trail opens on its Settings tab. From the palette, the command is AI settings and audit trail….

  2. Accept the AI addendum

In the Organisation section, tick the box that starts with I accept the AI addendum. Read the AI addendum opens it.

  3. Choose who answers

Under Who answers, choose iyedy AI: it runs on our AI model provider and is paid in credits. On Enterprise, Own key uses your organisation's AI provider key instead, billed to you by that provider, without credits.

iyedy says The assistant is on for the organisation. On Enterprise it says Asked a second administrator to approve. and the section shows the request until a second person approves it.

Set what it may read

In the same tab, The assistant reads diagrams up to sets the AI ceiling: Public, Internal, Confidential or Restricted. Team starts at Confidential, Enterprise at Internal. Restricted diagrams are never read. Lowering takes effect at once; raising needs a recent sign-in, and on Enterprise a second owner or security administrator. The section also tells you how many diagrams are above the ceiling. See Classification and AI ceiling.

The AI addendum

The addendum is the part of the data processing agreement about the AI. Until an owner accepts its current version, the Assistant cannot be turned on in a Team or Enterprise organisation. You can accept it when you create the team (Turn the Assistant on for the team) or later here.

One workspace, web research, the trail

  • One workspace off. In This workspace, Assistant in this workspace stops every call from that workspace, for everyone, at once. A workspace owner or an administrator changes it.
  • Web research is off until an owner or a security administrator turns it on; each web question is shown to the person and approved before anything is searched. On Enterprise it needs a second approval.
  • The audit trail. The Audit trail tab lists every call with who asked, the model, the cost and what was decided. It never holds the text of a prompt or an answer.
  • Credits. Members use the organisation's pooled credits. See How the Assistant uses credits.

Turn it off

Under Who answers, choose Off: No assistant call leaves the organisation. It applies at once; the checks keep working.

If it doesn't work

“Accept the AI addendum first.”

Tick the AI addendum box in the Organisation section, then choose who answers again.

“Your organisation has only one administrator: name a second one.”

On Enterprise, a second owner or security administrator approves. Give one of these roles to a second person first. See Invite and manage members.

“Confirm your identity to change this setting: nothing was saved.”

Your last sign-in is too old for this change. Sign in again, then repeat the change.

“Only an owner or a security admin of the organisation changes it.”

Your role does not manage the AI. Ask an owner or a security administrator.
