Invite and manage members

Members work in your organisation's workspaces with the role you give them; guests see only what is shared with them. Administrators invite, change roles, suspend and remove people from the organisation's Members, and decide the requests of people who want to edit.

Before you start

  • You are an owner or a workspace administrator of the organisation. Workspace owners can invite into their own workspace.
  • Seats. A Contributor or an Editor takes a seat; Viewers and Commenters are free. See Manage seats.

Invite people

  1. Open the invitation

In the account menu, choose Invite to Claims Architecture…, or in Organisation…, Members, the same button.

  2. Type the addresses

In E-mail addresses, type up to 20 addresses: Each person gets a link valid 14 days and signs in with that address.

  3. Choose how they join

In Join as, choose Member of Claims Architecture or Guest (sees only what is shared). For a member, choose their Role in this workspace, or No workspace access. Also share the open diagram adds the diagram you have open.

  4. Send

    Select Send invitations.

iyedy says how many invitations it created, for example 3 invitations created. They show under Pending invitations until each person accepts.

Resend sends an invitation again; Revoke cancels it.

Manage members

In the account menu, choose Organisation…, then Members. Search with Search a name or an address, and filter with All roles and Every status.

  • Change a role: use the list in the Role column. iyedy says, for example, Role of Alex Morgan: Workspace administrator.
  • Make someone a guest: choose Guest as their role, then confirm Make a guest. Their workspace roles become Commenter and their folder access is removed.
  • Suspend: Suspend stops their access until you select Reinstate.
  • Remove: Remove from Claims Architecture…. Their diagrams go to an active owner of each workspace; their access is removed and their pending invitations revoked. Their name stays in the history.

Only an owner gives or takes the Owner, Security administrator and Auditor roles, and only an owner acts on those people. The organisation always keeps one owner; an Enterprise organisation keeps two.

Decide access requests

A member who can only read can ask to edit. In Organisation…, Access requests lists each request: Accept or Refuse. When accepting needs a seat and none is free, an owner or a billing administrator adds one (the price before VAT shows first), or you forward the request with Forward to billing.

Export the list

In Members, select Export the list (CSV). Owners, workspace administrators and auditors can export. The file has one line per member: name, e-mail, role, status, source, managed, seat, joined, last seen.

If it doesn't work

“Every seat of … is taken: add a seat.”

The role you chose takes a seat and none is free. Choose Viewer or Commenter, or add a seat. See Manage seats.

“Name another owner first.”

This person is the last owner of the organisation or of a workspace. Give the Owner role to someone else, then try again.

“Only an owner can do this for an owner, a security administrator, an auditor or an account administrator.”

Workspace administrators manage members, not the people who hold these roles. Ask an owner.
